Filtering Threaded Emails
Hello prospective saviour,
First of all, I am using Outlook 2003. I work for a promotional products company that prints our distributors' customers' logos on products such as pens & key chains. We send our customers virtual art proofs based on the artwork they originally supply us with. The proofs display how the logo will be featured on the desired product. Our customers then email us their approval & we begin production of their order as soon as possible.
I have been struggling with a rule I created a few months ago. The need for the rule arose after I noticed that among the 50 or so emails (besides the many spam emails) we receive daily, we sometimes miss an emailed approval (We try to get our customers to fax their signed proofs & many, BUT not all, do). This rule is designed to send a copy of each email arriving from customers when they submit their approval of a virtual proof we sent them, to a folder named APPROVED. The problem is that the rule also forwards copies of the same emails when the rule locates the same filter words in the same emails when those emails are subsequently replied to or forward. It would be much more convenient if I had a rule that only forwards a copy of an email containing one of the filter words in the most recently received email and NOT for an email only containing a filter word in a previous occurrence within the same thread.
Please reply at your earliest convenience with any ideas of how this issue can be rectified.
