Updating Tasks Outlook 2003

Default Updating Tasks Outlook 2003

Outlook 2003, XP Pro SP3

Here is the scenario.

I set up and allocate a task, which is sent by email to the lucky candidate
for the job.

Later I wish to add my notes to the task, which is not allowed, except as an
updated task to the task nominee.

(for example "the task is to chase up an overdue widget order. Today the
supplier, Fred, rings me and I want to make the following update in the
task, and send to the task nominee:- "Fred rang re the overdue widget order;
said he has lost it, can you send to him again please")

These notes are not saved in the body of the task in my Outlook copy. How
do I do this?

(Sorry, I hope above explanation is not too convoluted!)

When you assign a task to someone else, it becomes their task and they
can change it, but you must send an update because it's not your task
any more.

Another step you need to know:

when Assigning Tasks, make sure that the setting to "Keep an updated copy of
this task on my taskpad" in ON.

You can set the default at Tools | Options | Task Options (on version 2003)

Actually on checking, I find that it is already selected.

But is there anyway for me, to keep on a task I have assigned, updates on
this task which I have sent to the assignee?

Default Updating Tasks Outlook 2003

With that setting on and if you use it the way it was designed, you and the
person doing the Task will have the exact same data at all times.

When they update the task, you get sent a Task Update - OPEN it.
When you want to change something on the Task, send a Task Status Report ( I
think that's what it's called) and they then need to OPEN it at their Inbox.
