OK. orignal problem i was having regarding search folders finding the
recipient's mail but not my sent items to them is now solved. I did run the ..pst inbox tool and it did find errors (so thanks for that one) but the problem continued after the .pst repairs. It seems though that the reason some' search folders were finding sent mail and not others was that the ones that were not finding my sent mail were allied to Outlook contacts that I had altered [naming fields] for at some point in the past (and not realised the knock on effects this would have in searches!) It just appears to work for some and not others. So! In Outlook 2003 all my mail is stored in one huge pst data file (recently scanned and fixed with SCANPST). The contacts are were also all created in Outlook 2003 and these i use to search the data file. Using a successful search folder set-up as an example: On the standard toolbar I click on 'Search Folder' which pops up the 'New Search Folder' window containing the following options: 'Reading Mail'; 'Mail from People and Lists'; 'Organising Mail'; and 'Custom'. I use the second on this list: 'Mail from People and Lists. In this category is listed four options and of these I click on the first of these options which is 'Mail from and to specific people'. Once this is highlighted I move to the 'Customise Search Folder:' section at the bottom of the 'New Search Folder' window where I click on the 'Choose' button. Clicking this brings up a new window asking me to select names from - i specify from my contacts list. I highlight the contact I require for search and click on the 'From or Sent to' buttom which enters the contact into the box when i press ok. This takes us back to the 'New Search Folder' window where the criteria now reads as follows: 'Show mail sent to and received from: ##contact##. Finally I then just have to specify where to search for mail using the drop down menu. Here ofcourse I am specifying 'Search mail in:' ##my .pst data file#. Pressing 'ok' at this point closes the window and begins the search and creates the search folder for results. In the successful folders there is all the mail from ##contact## interspersed with my replies to them. In the unsuccessful folders (the majority it seems now), the search folder contains just the mail 'from' and not 'to'. Sorry if this lengthy explanation was not necessary but i had to be sure we weren't crossing our wires. there are so many different ways of doing things and likewise, opportunities for confusion, I thought it as well to have my methodology acurately documented so you can see exactly what i'm doing (and perhaps where i'm going wrong). I checked my version and i'm using Microsoft Office Outlook 2003 SP2 (Standard Edition 2003 for Students and Teachers). Does your suggestion to add the Query Builder tab still apply to me? In some of these search folders i am able to view their messages to me, interlaced with my replies to them... all well and good. but!!! in 'some' folders, I seem just to find the messages from them AND NOT MY ACCOMPANYING replies. i've looked at every setting i can find and can see no difference between those that find my replies and those that dont.. Hope someone out there can help, it's driving me insane (as these probs so often do!). Thanks in anticipation..! |
