Default Can Outlook/forms solve this problem?

We produce a daily radio show (public broadcasting / non-profit) and use
Outlook to manage our show data. This works great in some respects, but
falls short in others. Can Outlook handle the following or do we need Excel
or Access (or other)?

We need:
1. To view our monthly radio schedule in a color-coded calendar format
(Outlooks works well for this), click on a show for a particular date, and
have fields where we can input, organize and search contact info, show notes,
etc.
2. These fields need to be searchable, e.g. “give me a list of all of our
shows that were coded political and that occurred within Jan 05 to Dec 05.”
3. Within that same “show file” we need to be able to store & access
attachments – word files, pdf files, images & ideally sound clips/files
4. The application should only allow one editable version of a "day's show"
to be open at one time; the other users should only be able to open
read-ojnly files.(Currently, using Outlook, 2 people can be editing a show
(daily entry) at the same time, and they only find out when we go to save the
changes. This is problematic, but maybe this is a setting/rule we can
change?)
5. If we use something other than Outlook, it needs to be accessible
remotely as Outlook currently is.

As we're a non-profit, funds are limited so we need to do this in-house or
possibly wwith the help of an intern. Will Outlook handle our needs, & if
so, where do I start? Or are we better off with another application?
Thanks!
