Outlook 2003 Exchange 2003 Sent Items Retention

Default Outlook 2003 Exchange 2003 Sent Items Retention

Hello,

I have an issue that has just surfaced.

When setting up my mailbox account on new clients, Outlook only shows that
past few months of Sent Items. Until recently, it would show items back to
2002 (when the server was first set up)

I have no Archiving enabled, and my mailbox size is well below the limits I
have set on the Exchange Server. And, the Sent Items Properties shows that
no retention polocies have ever been set.

What is causing this? Did an update to Exchange trigger some new default
setting?

In any case, there are older Sent Items that I need to have!

Running Exchange Server 2003 as part of SBS2003 (not R2)

Could it be a mailbox manager setting on the Exchange server?

Thanks for the idea. I have checked all of the settings I see and don't
recall anything that would be an issue. Although - if you have some
specific areas of interest to check - please let me know where the settings
might be.

And, as I say, this just started being an issue in the past 30-60 days.

Run a search of your mailbox for all messages. Then sort by date. Also
see if it goes further back in when viewing through OWA. Second see if
it's in the dumpster.

Do you see more when using OWA? does Advanced Find (against mailbox
root, including subfolders) find missing messages? Do you see missing
items in Outlook\Tools\Recover Deleted Items (you may need
http://support.microsoft.com/kb/246153/en-us ).
Also check that you do not have unwanted Mailbox Management policies in
ESM\Recipient\Recipient Policies.

Do you have backups from the time you seen those messages?

Hello everyone - thanks so much for the info and ideas.

OWA does indeed show almost all of the expected messages in Sent Items -
back to nearly 2002. A few less than expected -but years more than the
Outlook clinets now show.

As suggested, a Find All search found nothing extra in the Sent Items.
However, I foundSync logs this way (that do not appear otherwise???) Showing
this:

16:29:57 Synchronizer Version 11.0.8000
16:29:57 Synchronizing Mailbox 'Stu Howe'
16:29:57 Synchronizing server changes in folder 'Sent Items'
16:29:57 Downloading from server 'xxxxserver.xxxx.local'

16:29:57 Microsoft Exchange Server Information Store

Using cached mode? Disable/enable it.

Default Outlook 2003 Exchange 2003 Sent Items Retention

Update - fixed.

Did some scouring around the net after finding this sync log and found out
that a single email can cause this problem. So, in OWA I deleted the email
immediately following the last one synced with the Outlook Client and
voila - the whole folder syncs now.

I have to say, this is all a bit unnerving, as the setup here has been rock
solid for a couple of years now. No explanation as to what makes this
single email such a hiccup, which does not help us prevetn a similar issue
in the future. And shurely, software this sophistaced should be able to
ignore this email and continue on with the rest of the folder!
