First, you want to publish it to your Organizational Forms Library,
using the same name that they use in theirs.

Second, you should verify that they have set their contact item to your
company so that they always send in rtf format. This is done by opening
the contact item for your company, selecting the email address they use,
right-clicking it, choosing properties, and finally, on the properties
panel, either checking the box that is labeled always send to this
recipient in RTF format (for older versions) or setting the dropdown
list, labeled message format or something to that effect, to use rtf
format on all messages.
